NRJ StageWorx – Terms & Conditions

DISCLAIMER

Students, staff, and parents must all follow a respective Code of Conduct. Furthermore, all individuals must also follow the below policies whilst attending NRJ StageWorx or any event/offering associated with NRJ StageWorx.

By either submitting an application form, allowing your child to attend a class, attending a class yourself, or being within premises in which NRJ StageWorx operates, you hereby agree to the Terms & Conditions outlined below and accept that you will follow the Code of Conduct and any other supporting policies.

NRJ StageWorx, nor any of its Directors, Staff, or Volunteers, accept responsibility for the negligence of any party in failing to follow these policies and principles.

TERM FEES / PAYMENTS

• Fees are payable monthly on the 1st of every month.

• Annual Membership Fees are non-refundable (these do not include class fees, which are a separate payment).

• Your booking is not confirmed until payment has been received. Paid-for spaces will always be given priority.

• NRJ StageWorx or any of its staff are not responsible for any loss or injury during classes, rehearsals, or performances.

• Students must commit to the month in full and attend all classes. Monthly fees are payable in full, even if classes are missed.

• NRJ StageWorx reserves the right to remove, without refund, any student who is found to be bullying, misbehaving, or displaying disruptive behaviour.

• Refunds will only be given if a class has to be cancelled and no alternative is offered.

• Term information including cost and payment details will always be communicated openly to parents/guardians.

• Term fees are paid via subscription through our booking system. Payments will be taken automatically from the nominated bank account on the 1st of every month.

• We do not issue refunds for missed sessions due to personal circumstances.

• All scheduled holiday dates have already been deducted from our fee structure.

• To cancel your child’s space, you must contact us directly in writing. Subscriptions cannot be stopped without written notice. A 4-week paid notice period applies.

• NRJ StageWorx cannot provide refunds for holidays, other commitments, or if a student leaves mid-term.

• Any payments that fail on the 1st of the month will incur a £5 late payment charge, plus an additional £5 charge for each further failed attempt.

REGISTER, ATTENDANCE & ABSENCE

• A class register is maintained by the teacher for health & safety purposes.

• Students are expected to attend all classes unless ill.

• Parents must notify NRJ StageWorx of any absences by email or phone.

• If a student misses 3 or more consecutive sessions without contact, their space may be offered to someone on the waiting list. Subscriptions will still continue until the space is formally cancelled.

• If a class is cancelled due to teacher illness, a health epidemic, or unforeseen circumstances, NRJ StageWorx will endeavour to reschedule. This may involve a different date, time, or venue (within reasonable distance). Refunds will not be given unless a replacement class cannot be offered.

• All medical conditions must be declared at registration and kept up to date.

• Students must not attend if they have been unwell within 48 hours of class.

RIGHT TO ATTEND, CHANGE CLASSES & WITHDRAW

• All current NRJ StageWorx students are guaranteed a place in the next term and will be automatically re-enrolled.

• Parents must inform us in writing at least 4 weeks before a new month if their child is not returning.

• Students moving into a new age group (e.g. Primary to Secondary) may be placed into a different class. Any changes will be communicated in advance.

ACTIVITY PROVIDER

• NRJ StageWorx is an activity provider, not a childcare provider.

• Parents/Guardians are welcome to remain on-site but must stay only in permitted areas.

• Instructors are PVG-checked and First Aid trained, and will always prioritise student safety. However, NRJ StageWorx staff cannot provide personal care (e.g. toileting), which remains the parent/guardian’s responsibility.

PHOTOGRAPHY & MEDIA

• Parents must declare if they do not wish for their child to be photographed or filmed.

• Explicit consent will always be sought for photography/videography used in marketing.

• Parents may film/photograph their own child only, ensuring no other children are included.

• All media recorded by NRJ StageWorx staff may be used for promotional and social media purposes, unless consent is withdrawn.

PRIVACY

• NRJ StageWorx collects, processes, and stores personal data securely for registration, payment, and communication purposes only. Data is only accessible to NRJ StageWorx staff and will never be shared externally without consent.

CODE OF CONDUCT

STUDENTS MUST:

• Wear suitable clothing/uniform for classes.

• Bring water and stay hydrated.

• Be friendly, welcoming, and inclusive to all.

• Respect staff, peers, and venue property.

• Practise material when required (e.g. for shows).

• Report any inappropriate behaviour to an adult/NRJ staff.

• Avoid use of phones during class.

• Not bully, use bad language, or display aggressive behaviour (including online).

• Not disrupt classes, pressure others, or leave the venue without permission.

• Not consume alcohol, drugs, or smoke at any class or event.

Students have the right to:

• Be safe, supported, and respected.

• Be listened to.

• Ask for help.

• Privacy.

• Equal opportunities regardless of background.

• Have concerns taken seriously.

PARENTS / GUARDIANS MUST:

• Encourage and support their child’s participation.

• Provide all medical information during registration and keep details up to date.

• Be punctual for drop-off and collection.

• Ensure children attend in appropriate clothing/footwear.

• Inform staff if their child is to be collected early or by another adult.

• Communicate absences promptly.

• Refrain from disruptive behaviour at classes, rehearsals, or shows.

• Respect staff decisions and maintain a supportive environment.

• Ensure all fees are up to date.

Parents/Guardians have the right to:

• Be informed of their child’s progress, welfare, and any incidents.

• Be assured that staff are safeguarding trained and PVG checked.

• Have concerns listened to and acted upon.

• Consent to trips, media, and special activities before they occur.

FINAL DISCLAIMER

By enrolling or attending NRJ StageWorx classes or events, parents, students, and staff agree to abide by these Terms & Conditions and Code of Conduct. NRJ StageWorx reserves the right to amend policies as necessary to ensure safety, fairness, and the highest standards of practice.
